Kardex provides a range of products and services to help companies
better manage the vast quantities of paper, email, faxes, etc. received
as a result of the "information explosion".
Kardex offers a portfolio of systems from its range of imaging products
to its paper based retrieval systems. Its unique position in the UK as a
fully integrated technology supplier helps companies to successfully
merge both physical and digital data, saving on both floor space and
retrieval time.
Kardex's Core Document Management Products include:

Kardex
Lektriever
The Kardex
Lektriever will
reduce operating costs by saving space and boosting productivity in
information processing
The Kardex
Lektriever is a software controlled automated media storage and
retrieval system that can hold thousands of files, videos, CD’s , DVD,
or a host of other types.
Its capacity is the equivalent of at least 16
four-drawer cabinets.
Generically the system is known as a vertical
carousel, housing shelves which rotate on a paternoster system bringing
the requested shelf level to the operator at an easy to use height.
The Kardex Lektriever can be operated in a stand alone mode or networked to your IT
systems.
It is as easy to operate as a printer, simply click on the
requested file or media type and the Kardex
Lektriever will search, select and
retrieve the requested media, highlighting selected items with a series
of lights or through colour coded files.
Benefits
Floor space savings - Typically the Kardex
Lektriever will save you 50% plus on
floor space when compared to conventional manual filing products.
Frequently the space saved will enable companies to create additional
desk space or meeting rooms.
Ease of retrieval - No more backstrain and concerns about office
Health and Safety issues. As Kardex
Lektriever is an automated system the
contents are brought to the operator not vice versa. No more walking,
climbing ladders, bending and stretching to retrieve files. We estimate
that staff can become 40% more productive. Automating your filing also
helps disabled employees to do a broader range of office functions.
Wheelchair access to a Kardex
Lektriever is easy to achieve.
Fire Protection and security - Do you have a disaster recovery
plan? The Kardex
Lektriever
can offer you several additional degrees of protection against fire and
prying eyes. Each unit can be fully fire protected using a gas drench
system.
Security - The
doors of the Kardex
Lektriever
can be easily closed and locked with either a single key or
electronically via a digital lock. Advanced models of the Kardex
Lektriever
have auto-close doors linked to a time delay and PIN number access.
Individual shelves within the Kardex
Lektriever
can also have secure sections for additional protection.
Finish: The Kardex
Lektriever
is available in a wide range of colours and finishes complementing any
selected interior design.
Specifications
Kardex Lektriever can fit into any office giving cost effective benefits
Kardex Lektriever comes in 3 different widths as standard and a range of
heights from 2 to 20 metres. So Kardex Lektriever can be built through
one or more floors giving access to the same files throughout a building
without increasing the footprint.

TIMES-TWO
The Kardex Times-Two is
a double sided rotating filing system which can save substantially on
floor space giving you the ability to redefine your total needs.
The inner cube of the
Times-Two revolves within an outer shell enabling users to access both
the front and back of the unit whilst only having the one fixed access
area.
Benefits
Space savings - Units can be placed against walls or dividers giving
double density storage capacity within a much reduced footprint area.
Just three Times-Two units of the most popular size will hold the
equivalent of eighteen four drawer filing cabinets; saving at least 50%
of floor space.

Office Design -
Redefine space with the Kardex Times-Two. It is available in 6 different heights and 2 widths. The Times-Two can therefore be fitted around the
core structure of a building and its walls to its full height, or in
open plan areas at lower heights conforming with overall design policy.
Because of the design of the Times-Two there is no need for doors or
tambour fronts so the offices will look clean and uncluttered during the
working day as well as at night time.
The design of the Times-Two has
helped many companies achieve the implementation of new methods of
flexible working, such as hot desking.
Flexibility - Times-Two can accommodate all types of filing from A4
and foolscap to CD's, videos, lever arch, disks, cassettes, plans,
hanging frames, etc.
The Foot pedal -
(health and safety in the office)
The foot pedal is vital for the safe
operation of any rotary double density system.
The weight of paper can
mean that an operator will be rotating 1000 lbs of paper load so it is
important that there is a strong and robust locking mechanism to ensure
that the inner cube firmly locks in place for safe user access when
storing or retrieving files.
Specifications
The Times-Two is the ideal high density office system to save you
maximum floor space whilst complementing your office furniture design.
It is available in multiple colour options, fabric finishes or most
impressively a range of genuine wood veneers.

MOBILE SHELVING
The concept of mobile
shelving is increasingly popular for the less active and archival filing
requirements. The Kardex range includes 3 different methods of
operation, hand, gearwheel or electric.
The shelving bays are placed on mobile carriages which are then moved
along rails enabling users to create access aisles as and when required,
as opposed to having a series of fixed shelving bays with permanent
access aisles taking up large amounts of floor space.
Benefits
Floor space savings
- The savings can be dramatic, frequently at least half of the space can
be saved, but it is important to give consideration to the likely
activity rates to retrieve files.
Frequently accessed files in a mobile system will often lead to a
slowing of retrieval rates as the users start to form a bottle neck
trying to get access to the files and having to wait for others to
finish the movement of filing bays before they can take their turn.
It is here that the Kardex document management audit will help you to
make the correct choices as all of these points will be taken into
consideration at the file survey stage.
With 'mobile'
shelving only one aisle is needed at a time, saving 35% floor
space or giving 75% more capacity in the same space
Electronic Version - Linking PowerPick®
Office to your system, Kardex will enable you to determine the
whereabouts of any file within the whole system and provide up to the
minute information regarding current and past file movements, forward
reservations and a synopsis of file content . Barcode systems are now
being commonly installed with our electric solutions.
Flexibility - Like the DataStack®,
mobile shelving also has the capability of accommodating all types of
filing from A4 and foolscap to CD's, lever arch, disks, videos,
cassettes, plans, hanging frames, etc.
Security - Mobile systems can be made secure by locking units
together and putting lockable doors on the outer most external doors. In
addition PIN control can prove controlled access in electric systems.
Specifications - Mobile shelving is available in a variety of
dimensions and designs. Every model can be tailored to meet customers’
requirements.

FIRE PROTECTION SAFES
If fire devastated your
building tomorrow, would your company’s essential media survive?
Without them you could find it difficult to continue running your
business.
What’s more, could you prove the extent of your losses for a full and
speedy insurance settlement?
-
The Fire Brigade is called out to a fire
every 80 seconds.
-
Commercial fires cost industry £602
million per year, but if the hidden costs, including lost production,
lost orders and business interruptions are added, the total figure is
much more.
-
It’s a fact that many companies cease
trading after a fire not because of damage to factories or stock, but
due to mission critical documents being lost.
Protection from fire or
theft can be a very important, but often forgotten, part of good
document management. But it’s not just fire you need to be wary of. A
whole range of disasters including burglary, flood, electrical failure,
vandalism and terrorism puts thousands of companies out of business each
year.
The Kardex Disaster Protection range has been specially designed to
blend into your office environment, whilst offering point of use
protection, not just from fire but burglars, vandalism and floods too.
In order to decide what safe would be best for you, follow our guide to
choosing the right safe.
The Kardex range of safes will provide you with a fully comprehensive
choice, in order to meet the demanding needs and requirements of storing
media safely and securely, whatever your requirements.

FILING
SUPPLIES
We have a wide range of filing supplies. See
more of our product range at
www.kardexdirect.com. The choice of the correct file type and
index is crucial but can often be overlooked in the overall project. It
is the correct choice of hardware combined with the most appropriate
filing software which will produce the ultimate solution.
One without the other is only going half the distance and will only give
half a solution - leaving expectation levels unfulfilled.
It is essential to choose the right type of folder for the anticipated
application. These are some of the questions needing to be answered:
-
Is this a permanent or temporary folder?
-
What size and quantity of papers will be
placed in it?
-
Will there be a need to segment the folder
into different sections?
-
Will I need to keep paperwork loose or
fastened?
-
In what equipment is the folder to be
housed lateral shelf or drawer, hanging or sitting on a shelf
-
Is it expected that the file will travel
through several departments or will it be a general reference file
staying in one place?
The answers to these questions will dictate
the weight of the folder material, size of expansion gusset required,
type of index tab, and whether you will need to look at box files or
lever arch files.

DOCUMENT TASK FORCE
This service is an all encompassing one-stop-shop.
Most companies now operate in fast moving
and competitive markets. The need to adapt internally to meet external
demands presented by market shifts and customer requirements are
essential if we are to survive and prosper.
The ability and flexibility to reorganise will frequently mean the
disbanding and regrouping of employees and teams of individuals to meet
the new opportunities.
Invariably this will involve internal moves of a lesser or greater scale.
Being able to react quickly to new demands will often give first mover
advantage to those who have predicted shifts intelligently and
accurately.
Office “churn” is renowned for being a chaotic, time consuming and
frustrating time for all concerned.
The Document Task Force has been established to minimize the pain
associated with “churn” and can supply a range of services at short
notice, in a professional and efficient manner. These services include
the following:
-
Surveys of existing records management and
general office procedures.

Recommendations to improve on file
indexing, colour coding, types of hardware.

recommendations including hardware supply, provision of new folders,
sticking on of labels, creation of databases, transfer of files from
old to new.
-
Organisation of the office move,
pre-planning, implementation and consolidation.
-
Supply of labour, crates, off-site storage
and transport.
The cost of the office “churn” has been
estimated at several thousand £'s per individual. It is therefore
crucial that this is carried out expertly and efficiently by a qualified
and experienced team thereby protecting the investment and ensuring that
the move to gain competitive advantage is secured.
